SpeakOut is a tool which helps to protect Mondi and your rights with respect to any concern relating to:

• Criminal offences
• Failure to comply with legal obligations
• Major safety and health violations
• Fraud
• Discrimination or harassment
• Human rights violations
• Environmental pollution
• Criminal accounting, financial reporting and audit practices
• Conflict of interests

Mondi has a zero tolerance policy for these kinds of behaviour. If you suspect any such behaviours, we encourage you to report them safely using the SpeakOut service, so that we can address them. Remember that SpeakOut is 100% confidential and available 24/7.

Even though SpeakOut provides you with a confidential way to share your concerns, it is not intended for:

• Reporting emergency situations
  
• Asking questions about Human Resource issues
  
• Making malicious or mean-spirited comments about colleagues, managers or any Mondi business partner
  
• Handling labour or union grievances
  

Please use SpeakOut if you have concerns that you cannot share with your manager, HR or your usual Mondi contact.

• There are three available channels:
• Call the toll-free number of your country (note that for some countries only landline phone can be used). You can find all our SpeakOut contacts in the SpeakOut contacts section.
• Go online - mondigroup.speakup.report/mondigroup
• Download the mobile app (SpeakUp Listen for a change) or scan the QR code.
• Select your language
• Enter Mondi’s unique access code 108384
• Write down your report number for future reference and create a password
• Answer the initial filtering questions before leaving the message
• Leave a message – remember to include relevant details about location, persons involved, dates, and supporting documents. You do not have to give your name.
• Check back in a week for a response to your message.

You can leave your email address if you want to be notified about the response – however, no one at Mondi will have visibility on the address provided.

Important: leaving a message via SpeakOut does not constitute a ‘legal notice’ to Mondi.

SpeakOut is a Mondi initiative supported by the reporting platform SpeakUp®, which is managed by People Intouch, an independent third party and leader in confidential misconduct reporting. Access to SpeakOut incident information is restricted to named responsible persons, and coordination of the cases is handled by Group Internal Audit.

Once you have left your message, People Intouch will transcribe it and then erase the ‘spoken’ version. In this way, no one at Mondi will hear your voice.

The transcribed message is then sent to Mondi’s Response Team, typically within one working day.

A Response Team, consisting of independent Internal Audit representatives, will review the message and follow up within a week

Check the answer by using the report number to see if further information is requested or the outcome of the incident.

The status or internal analysis or outcome of the investigation will be communicated within three months, but due to confidentiality reasons, no further details can be disclosed.

• Write down the major points of your message before reporting your concerns.
• Note your report number and password in order to later log in and verify the answer received
• If you want your message to be directed to a specific individual, mention it in the recording/ web message.
• Be as specific as possible in the message you leave:
• Which division/ company/ department/ person(s) is involved or implicated?
• Where did the incident(s) take place?
• Date and time of the incident
• Names of the people involved
• Are there witnesses? Which evidence do you have
• Does it happen regularly or was it a one-time event?
• Supporting documents can be included when using the web or mobile reporting channel. If you have already a report number, you can log in using the report number and password already created and add additional details/documents.
